Job fulfillment of Administrative personnel:

  • The goal is to ensure all support activities are carried on efficiently and effectively to allow the other operations to function properly.
  • Planning and coordinating administrative procedures and systems and devising ways to streamline processes
  • Allocate office space and work tools as needed.
  • Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints
  • Manage office supplies stock and place orders
  • Prepare regular reports on expenses and office budgets
  • Organize a filing system for important and confidential company documents
  • Ensure operations adhere to policies and regulations
  • Ensuring office supplies are maintained, including checking inventory and working with vendors to ensure adequate levels of necessary supplies at all times.
  • Ensuring the confidentiality and security of files and filing systems
  • Coordinating schedules, arranging meetings, distributing memos and reports, and ensuring that everyone is kept current with necessary company news and information
  • Book meeting rooms as required.

Fleet Management:

  • Purchasing and maintaining vehicles for deliveries.
  • Assisting in the recruitment of quality drivers into the fleet
  • Fleet Management includes managing drivers, maintaining vehicle serving records, and ensuring operational efficiency across the fleet throughout the year.
  • Develop efficient driver schedules to maximize profits
  • Register and license all vehicles under their management
  • Find ways to cut costs and maximize profits
  • Develop strategies for greater fuel efficiency
  • Maintain detailed records of vehicle servicing and inspection
  • Training new Drivers.

Facility/Maintenance Management:

  • Managing the upkeep of equipment and supplies to meethealth and safety standards
  • Preserving the good condition of infrastructure and ensuring that facilities are safe and well-functioning.
  • Review utilities consumption and strive tominimize costs.
  • Control activities like parking space allocation, waste disposal, buildingsecurity, cleaning, catering, maintenance, etc.
  • Keep financial and non-financial records. Perform analysis and forecasting. Managing maintenance budgets.
  • Ensuring facilities meet government regulations, health and security standards, and energy efficiency requirements.
  • Ensuring that basic facilities, such as water are well-maintained.

Compliance Management:

  • Develop and oversee control systems to prevent or deal with violations of legal guidelines and internal policies
  • Evaluate the efficiency of controls and improve them continuously
  • Revise procedures, reports, etc. periodically to identify hidden risks or non-conformity issues
  • Collaborate with the HR department to monitor the enforcement of standards and regulations
  • Assess the business’s future ventures to identify possible compliance risks
  • Keep abreast of regulatory developments within or outside of the company as well as evolving best practices in compliance control
  • Prepare reports for senior management and external regulatory bodies as appropriate.
