Description
- As the Administrative Assistant, candidate will be responsible for managing office administrative tasks, supporting managers and employees by providing polite and professional assistance, coordinating and managing vendors, and generally being helpful in maintaining a positive presence in the workplace.
Responsibilities
Specific job functions include:
- Welcome visitors and respond to enquiries.
- Create and maintain electronic and physical filing systems.
- Prepare reports or documents as required.
- Communicate and collaborate with the team on projects when required.
- Manage calendars and support with event planning and execution.
- Provide support to managers, employees, partners, and the Academy when needed.
- Schedule appointments, maintain calendars, and coordinate general meetings.
- Source and manage vendors’ contracts, invoices, and accounts.
- Maintain inventory of office supplies (stationery, toiletries, diesel, power units, first aid, provisions, etc.) and procure new items.
- Maintain office equipment and facilitate payment of utility bills.
- Resolve office-related malfunctions and respond to requests or issues.
- Supervise the cleaning and maintenance of the office environments.
- Oversee the duties of all other Admin staff (Drivers, Cleaners, Security) and ensure compliance with office procedures.
- Other duties assigned.
Requirements
- BSc in Office Management, Business Management, Business Administration or related field.
- Minimum of 2 years of work experience as an Administrative Assistant, Office Manager or similar role.
- Minimum of 3 years of driving experience with a valid driver’s licence.
- Knowledge of office management systems and procedures.
- Excellent written and verbal communication skills.
- Avid negotiator with a can-do attitude.
- High attention to detail.
- Proven experience in inventory and office equipment management.
- Proficiency in MS Office.
- Excellent organizational and time management skills.
- Analytical and problem-solving skills.
- Excellent administrative and organizational skills.
